These Terms of Service govern the appointment-search and booking assistance services provided by QVisa ("QVisa", "we", "us", or "our"). By submitting your data, spreadsheet, form, passport details, credentials, or by otherwise using our services, you agree to these Terms.
QVisa provides a best-effort appointment search and booking assistance service for visa application appointments through third-party platforms, including VFS Global where applicable.
QVisa is not a visa authority, embassy, consulate, or official government booking platform. We do not decide visa outcomes and we do not guarantee appointment availability, appointment timing, or visa approval.
QVisa is an independent private service and is not affiliated with, endorsed by, or partnered with VFS Global, any embassy, consulate, or government authority unless expressly stated in writing.
Using QVisa does not guarantee:
By using our service, you authorise QVisa to use the information, documents, credentials, and personal data you provide solely for the purpose of:
You confirm that:
QVisa provides the service on a best-effort basis only. We do not promise or warrant that:
Appointment availability depends entirely on third-party systems and providers outside our control.
The official record shown on the relevant third-party booking platform, including VFS Global where applicable, is always the final and authoritative record of any appointment.
Any information shown by QVisa in messages, dashboards, spreadsheets, notifications, or emails is provided for convenience only and may occasionally contain delays or discrepancies. In case of any inconsistency, the third-party platform record prevails.
QVisa may send notifications by email, SMS, WhatsApp, Telegram, or other communication channels you provide or approve.
You acknowledge that:
QVisa is not responsible for missed opportunities caused by failed delivery, spam filtering, network issues, third-party outages, or inaccurate contact details provided by you.
A booking is considered successfully completed when an appointment has been secured on the relevant third-party booking platform and sufficient booking confirmation exists in that platform or through the booking flow used.
A detected slot that cannot be completed into a confirmed booking does not count as a successful booking.
QVisa does not normally charge any advance payment for appointment-search services unless expressly agreed in writing.
Payment becomes due only after an appointment has been successfully booked.
Once an appointment has been successfully booked and payment has been made, QVisa's service fee is fully earned and non-refundable.
This applies even if the appointment is later cancelled, changed, withdrawn, rescheduled, delayed, blocked, or otherwise affected by VFS Global, an embassy, a consulate, a government authority, or any other third party.
QVisa is paid for successfully securing the appointment. Events occurring after that point are outside QVisa's control and do not create a refund obligation for the completed service.
QVisa is not responsible for third-party cancellations, rescheduling, technical failures, policy changes, access restrictions, payment failures, no-show penalties, or any other event caused by VFS Global, embassies, consulates, government authorities, or other third parties after an appointment has been secured.
If an appointment has been booked and you later request a change, cancellation, replacement, or a new search, that will be treated as a new service request and may require a new fee.
Any amendments, cancellations, or refunds offered by the underlying booking platform are strictly between you and that third party unless QVisa expressly agrees otherwise in writing.
You are solely responsible for:
QVisa is not liable for losses arising from incomplete or incorrect client information, missed appointments, missing documents, failed identity checks, or loss of access to the client's confirmation email, phone, or account.
By submitting your request and asking QVisa to start searching or booking immediately, you expressly request that we begin performance of the service without delay.
You acknowledge that once the service has been fully performed, or once an appointment has been successfully secured for you, QVisa's service fee becomes due and non-refundable, except where mandatory law requires otherwise.
QVisa processes personal data only to the extent reasonably necessary to provide the service, communicate with you, maintain records, comply with legal obligations, and interact with relevant third-party booking systems on your behalf.
Our handling of personal data is described in our Privacy Policy, which forms part of these Terms.
Each row, form entry, or booking request applies to one individual passport holder only, unless expressly agreed otherwise.
Appointments are personal to the named applicant and cannot be transferred between applicants unless the underlying third-party platform expressly allows it.
QVisa reserves the right to refuse, suspend, or terminate service where we reasonably believe that:
To the maximum extent permitted by law, QVisa shall not be liable for indirect, incidental, special, consequential, or punitive losses, including loss of opportunity, loss caused by third-party platform downtime, access restrictions, anti-bot measures, technical errors, slot withdrawal, or client-side mistakes.
To the maximum extent permitted by law, QVisa's total liability arising out of or in connection with any service request shall not exceed the total amount actually paid to QVisa for that specific request.
Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law.
QVisa assists only with appointment search and booking logistics. We do not guarantee visa approval, document acceptance, successful submission, or any immigration outcome. All visa decisions remain solely with the relevant authorities.
QVisa may update these Terms from time to time. The latest version published on our website will apply to new service requests from the date of publication.
These Terms are governed by the laws of the country in which QVisa is established, unless mandatory consumer law requires otherwise.
